Total Employees |
This is a count of the employees who were considered for IPEDS reporting. If there are no errors, this total should be the same as the "Total Employees Counted". When an employee has multiple positions will be counted only once, provided that at least one of his positions satisfies the selection criteria. |

Total Employees Counted |
This is a count of the employees who passed all of the criteria and are included in a report. If there are no errors, this total should be the same as the total shown for "Total Employees". The sum of the report totals for Part H, I and J should add up to this total. This should equal the grand total of line 077 of report B40. |
D |
Total Employees Not Counted |
This is a count of those employees who were considered for reporting, but were rejected due to errors in their data on file. These employees are reported on the error list along with an error message that explains the reason for rejection. |

Total Position Records Processed |
This is a count of all of the positions which satisfied the general selection criteria of active or on temporary leave. This count is not a count of the positions reported on the IPEDS reports; those reports count employees not positions. |

Total Part Time Positions |
This is a count of the number of positions that had a time base less than or equal to .990. This count is included in the "Total Position Records Processed". |

Total Full Time Positions |
This is a count of the number of positions that had a time base greater than .990. This count is included in the "Total Position Records Processed". |

Message – 01 Principle Activity Decision Made |
This is not a true error but an informational message. An employee assigned this message has been counted and reported. When an employee has multiple positions, the criteria is to select the position with the highest time base and to report the employee based on that position. If there are multiple positions with this time base, the first position encountered is designated the primary position and is assigned message number 01. Only the primary position will be reported. |

Message – 02 Time Base Illogical/Not Numeric |
Message 02 is assigned to positions having an invalid time base. The employee is not included in the IPEDS reports. The campus Payroll/Personnel Office should be notified and asked to correct data item 405 on the PIMS Employment History Database. |

Message – 03 Unable to Select Appropriate Report |
Message 03 is assigned to positions which failed to qualify for any of the report sections. The employee is not counted. A thorough review of the employee's record on the PIMS Employment History Database should be made by the Payroll/Personnel Office and the problem(s) corrected. |

Message – 04 Affirmative Action Code Unknown |
Message 04 is assigned to positions that have an invalid Affirmative Action Code assigned to its class in the CSU Pay Scales. The employee is not included in the report. For employees in the Management Personnel Plan (MPP), the Affirmative Action Code assigned to the Job Code is invalid. All employees with errors that have message code equal to 04 should be reported to HR-ISA. |

Message – 05 Ethnic Code Unknown |
Message 05 is assigned to positions that have an invalid or missing ethnic origin code on file. The employee is included in the report under column 13 or 14. The campus Payroll/Personnel Office should be notified and asked to correct data item 445 on the PIMS Employment History Database |

Message – 06 Probation Code Unknown |
Message 06 is assigned to positions with an invalid probation code. The employee is not included in the report. The campus Payroll/Personnel Office should be notified and asked to correct data item 430 on the PIMS Employment History Database. |

Message – 07 Range Code Unknown |
Message 07 is assigned to positions with an invalid range code. The employee is not included in the report. The campus Payroll/Personnel Office should be notified and asked to correct data item 335 on the PIMS Employment History Database. |

Message – 08 Sex Code Unknown |
Message 08 is assigned to positions with an invalid or missing sex code. The employee is not included in the report. The campus Payroll/Personnel Office should be notified and asked to correct data item 440 on the PIMS Employment History Database. |

This is not a true error but an informational message. The line number override option was used on the employee. The employee is now counted in the assigned line number. This employee has been counted and reported. |

This is not a true error but an informational message. The column number override option was used on the employee. The employee is now counted in the assigned column number. This employee has been counted and reported. |

This is not a true error but an informational message. The line and column number override option was used on the employee. The employee is now counted in the assigned line and column number. This employee has been counted and reported. |

Message – 12 Invalid Executive W/Acad Field |
Message 12 is assigned to positions with an Executive W/Acad field invalid or employee is not an executive. The employee is not included in the report. The employee is not an executive and the Executive W/Acad field is “T”. The campus should check if the position is an executive or if the Executive W/Acad field should be “N”. |
